Privacy Policy
What we collect, why, how long we keep it, and how to exercise your privacy rights — under the Australian Privacy Principles and, where relevant, GDPR and CCPA.
Information we collect
RemotIQ Pty Ltd (ABN 91 682 628 128) collects only what's needed to run the business and deliver engagements. That falls into three groups: information you submit directly — name, email, company and industry from contact forms; name, email, phone and resume from job applications; email and locale from newsletter sign-ups.
Engagement data for active clients — billing details, project stakeholder contacts, and material you share with us such as source code, infrastructure access, business records and correspondence.
Information collected automatically — standard hosting server logs (IP address, browser, device, requested URLs, timestamps) and preferences stored in your browser, such as theme, language and cookie consent state.
How we use it
Contact-form submissions are used only to respond to your enquiry. Job applications are used to evaluate candidates and, with consent, may be kept on file for future roles. Newsletter sign-ups are used solely for the updates you subscribed to.
Engagement data is used to deliver services, invoice correctly and meet legal and accounting obligations. Server logs keep the site running securely and help us diagnose issues.
Lawful basis for processing
Where GDPR applies, we rely on one of four bases: performing a contract with you, pursuing a legitimate business interest (security, service improvement, responding to enquiries), your consent for optional activities like the newsletter, or a legal obligation we're required to meet. We don't make decisions about you using automated processing alone.
Sharing your information
We do not sell, rent or trade personal information. We share it only where necessary: with service providers who help us run the business (hosting, email delivery, source control, payment processing, mapping), where required by law or a valid legal process, with professional advisers, and as part of a merger, acquisition or asset sale.
International transfers
We operate across Australia and India, with partners in other countries. Where we transfer EU/UK personal data internationally, we rely on safeguards equivalent to the EU Standard Contractual Clauses and the UK International Data Transfer Addendum, alongside encryption and access controls.
How long we keep it
Contact-form submissions: up to 24 months. Job applications: up to 12 months, longer only with your consent. Newsletter data: until you unsubscribe. Client engagement records: the term of the engagement plus 7 years, to meet accounting and legal obligations.
How we protect it
We use encryption in transit and at rest, role-based access controls, multi-factor authentication, and regular security review to protect the data we hold.
Your rights
You can ask us to access, correct, delete or restrict the use of your personal information, or to receive a portable copy of it, at any time. We aim to respond within 30 days. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC), or the relevant supervisory authority if GDPR applies to you.
Children's privacy
Our services are not directed at children under 16, and we don't knowingly collect personal information from them.
Changes to this policy
We may update this policy as our practices or the law change. We'll notify existing clients directly of any material change.
